Privacy Policy — photographer waitlist

Who we are

Pic Pic Club (“we”) is responsible for the data you give us in the photographer waitlist form. Pic Pic Club (picpic.club) is an event photo platform that has not yet opened photographer sign-up.

This policy covers that form, the contacts we make from it and the cookies of this site (photographer.picpic.club). When you sign up on the platform, its own privacy policy and terms replace this one for your account. Questions: message us on Instagram at @picpic.club.

What we collect

Only what you fill in, and the minimum needed to receive the form:

Required: first and last name, email, phone, country of residence and Instagram handle.
Optional: the platforms where you sell photos today and how you heard about us.
Your acceptance of this policy and that you are 18 or older.
Automatically: the date and time you sent the form and the source of the link you came from (for example, a campaign).
Only if you accept analytics cookies: how you use this site, as described in Cookies and analytics.

We do not ask for documents, photos, payment data or biometric data.

How we use it

With your consent, given when you submit the form, we use your data only to:

Invite you to sign up for Pic Pic Club when photographer sign-up opens.
Contact you by email or phone (call, SMS or WhatsApp) to tell you more about the platform, answer your questions or arrange your onboarding.
Decide whom to invite first, by country, type of photography and the experience you share.
Understand how people find us, with aggregate data.

We do not sell or rent your data or use it for third-party advertising. If we ever want to send you news or a newsletter, we will ask for separate consent.

Who we share it with

Only the providers we need, each acting on our behalf and unable to use the data for its own purposes:

Fillout, which receives and stores the form responses.
An email service, which sends the emails we write to you.
A web hosting service, which shows the page with the form.
Google (Tag Manager and Analytics), only if you accept analytics cookies, to measure visits to this site. It never receives your form answers.

These providers may store data outside your country. By submitting the form you accept that transfer; in every case we apply the care described in this policy. We would share your data with an authority only if a law or a court order required it.

Cookies and analytics

This site works without cookies. We use analytics cookies only if you accept them in the banner that appears on your first visit. Until you choose, and if you reject them, no Google script loads on the page.

If you accept, Google Analytics, loaded through Google Tag Manager, sets its cookies (_ga and _ga_…, kept for up to 13 months) so we can count visits, see which pages and campaigns bring people here and how many open the form. What it receives:

The page you visit, without anything in its address except campaign parameters (utm_*).
That you opened the form, and from which button.
The technical data any website receives: approximate location by country or city, device, browser and language. Google Analytics does not store your IP address.

It never receives your name, email, phone, Instagram handle or any form answer, and we do not use these cookies for advertising: advertising consent stays denied. We see the results only as aggregate reports, and we keep them for up to 14 months.

We save your choice in your browser (picpic-consent, local storage, no expiry) so we do not ask again. You can change it at any time from “Cookie settings” at the bottom of every page; if you withdraw consent, we delete the analytics cookies we can reach from this site. The Fillout form, on its own page, is shown by Fillout and may use the cookies it needs to work.

How long we keep it

Until the first of these happens:

You sign up on the platform: from then on your account's privacy policy applies, and we delete the form response.
You ask us to remove it: we delete it within 30 days.
18 months pass since you sent the form without signing up: we delete it.

Your rights and how to stop being contacted

At any time, by writing to support@picpic.club from the email you gave us, you can ask us to:

Show you the data we have about you.
Correct it if it is wrong.
Delete it.
Withdraw your consent. It does not affect what we did before, but we stop contacting you.

To stop being contacted you can also reply “unsubscribe” to any email or message from us, or say so on a call. We answer within 30 days. If you believe we have mishandled your data, you can complain to the data protection authority in your country.

Minimum age, security, changes and contact

Minimum age. The waitlist is only for people 18 or older. If we learn that someone younger signed up, we delete their data.

Security. Only the Pic Pic Club team members who need to contact you can access your data, through protected accounts. No system is 100% secure; if an incident affects your data, we will tell you.

Changes. If we change this policy, we publish the new version on this page with its date. If the change is significant, we will email you before it takes effect.
